5a. Business Owner Notifications
Receptify sends SMS text messages to business owners who have opted in to receive appointment booking alerts. The following describes how we handle your mobile number and text message consent.
5b. Customer Appointment Confirmations
When a customer books an appointment through a business's Receptify AI receptionist, the AI requests verbal consent before sending any text message. If the customer agrees, they may receive appointment-related SMS from the business. The following describes how this consent and messaging works.
Business owners may optionally connect their Google Calendar account to Receptify to enable automated appointment booking. When you connect Google Calendar, Receptify requests access to the following scope:
https://www.googleapis.com/auth/calendar.events — allows Receptify to create, read, update, and delete calendar events on your behalf.https://www.googleapis.com/auth/calendar.events.freebusy — allows Receptify to query your free/busy availability during live calls. Only time blocks are returned — no event titles or attendee details are accessed. What we access: Only calendar events on your primary Google Calendar. We read your availability (busy/free times) to avoid double-booking, and create or update appointment events when your AI receptionist books a caller.
How we use it: Solely to manage appointments booked through your Receptify AI receptionist. We do not read, store, or process any other calendar data or personal information from your Google account.
Data sharing: Your Google Calendar data is never sold, shared with third parties, or used for advertising. It is used exclusively to fulfill the appointment-booking function on your behalf.
Protection: OAuth tokens are stored encrypted and transmitted exclusively over HTTPS. We never store your Google account password. Tokens are scoped to the minimum permissions required.
Retention and revocation: You can disconnect Google Calendar at any time from your Receptify dashboard (Settings → Calendar). Upon disconnection, your OAuth tokens are immediately deleted from our systems. Existing calendar events created by Receptify remain in your Google Calendar and can be deleted directly from there. If you delete your Receptify account, all stored tokens are permanently removed.
AI/ML restrictions: Google Calendar data accessed through Receptify is never used to develop, improve, or train any AI or machine learning models. We do not transfer your Google Calendar data to any third-party service for AI/ML training purposes. The AI voice receptionist processes live call audio only to handle your appointment requests in real time — your calendar data is not fed into any model training pipeline.
Receptify's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. The use of raw or derived user data received from Google Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.
We retain your data for as long as your account is active. Demo accounts are automatically deleted after 48 hours if not converted to a paid account. You may request deletion of your data at any time by contacting us at [email protected].
We use essential cookies to keep you logged in and remember your preferences (such as currency selection). We do not use advertising or tracking cookies.
You have the right to access, correct, or delete your personal information at any time. To exercise these rights, contact us at [email protected].
We implement industry-standard security measures including HTTPS encryption, secure password hashing, and PCI-compliant payment processing through Stripe. However, no method of transmission over the internet is 100% secure.
Our service is not directed to children under 13. We do not knowingly collect personal information from children.
We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by posting a notice on our website.
